Events on Council Land Application Form

Completing this application is the first step to applying for a permit to hold an event on council land, including parks, reserves, beaches and/or roads. A minimum of eight weeks is required to complete the processing of this form. For proposed major events e.g. more than 1,000 persons, please contact council at least three months prior to the proposed date on 03 6217 9500.

  • Expected attendance numbers

    If your expected attendance is greater than 1,000 persons for more than two hours, you are required to lodge a place of assembly licence – located at www.ccc.tas.gov.au

  • Site Infrastructure

    As of 21 December 2021 inflatable devices (jumping castles, inflatable slides, zorb balls, etc) will not be permitted on council land until further notice.
  • Traffic Management

    If you are proposing to close a road or change normal traffic conditions, you will be required to provide a traffic management plan developed by a qualified traffic management company.
  • Site Services

    Where possible please visit the site before submitting your application.
  • Smoke Free

    Some legislated events must be a designated smoke free event, for more information visit: www.dhhs.tas.gov.au
  • Waste Management

    Depending on your event and expected participant numbers, you may be required to provide additional toilets and bins. If you would like council to assist with organising additional bins and toilets to what already exists on the site, please include in the Council Assistance section below under Infrastructure.
  • Entertainment Management

    We do not encourage the use of balloons at events including mass balloon releases. Environmental Protection Authority guidelines apply to noise. Refer to our Planning a Better Event Toolkit at www.ccc.tas.gov.au
  • Food and Beverage Management

    The location and nature of the event will determine if permission will be granted for the sale of food and beverages. Each stall or mobile structure is to hold a current food business registration for a mobile structure or must obtain a temporary food licence. For more information visit www.ccc.tas.gov.au

    • COVID-19 Safety Plan

      Noting the current provisions of State Government, we no longer require event organisers to submit a COVID-19 Safety Plan. As per State Government advice, event organisers are encouraged to follow best practice guidance to manage COVID-19 safely. This does not include music festivals with 2,001 or more patrons or large events with 5,001 or more patrons. Event organisers will still be required to submit a COVID-19 Safety Plan If you are unsure of current events framework, please visit www.business.tas.gov.au/coronavirus_information/event_framework.
    • Council Assistance

      To request financial and/or infrastructure assistance from council for this event, please provide details for our consideration.
    • Site Plan

      Upload your site plan below. Site plan to include: - Placement of all existing and temporary equipment proposed to be set up; - Naming of included roads; - For fun runs/cycle events/marches include the direction of the course; - Car park locations for participants, contractors, staff and public; - All temporary structures (tents, marquees, toilets, bins, fencing, stages, signage); and - Location of animals, food and beverage stalls, power, generators and water points.

      • Terms and conditions

        Terms & Conditions for permits & licences issued by council for events under council's Public Places By-law 2018: • The permit is not assignable or transferable. • The permit holder must comply with all requirements, notices and directions given to the permit holder by council or any public or statutory authority and must comply with all acts, regulations, by-laws, codes and all Australian standards applicable to the land or premises which are the subject of the permit. • The permit may be cancelled by council if the permit holder fails to observe or comply with the terms and conditions of the permit. • The permit holder agrees to indemnify, and keep indemnified, and to hold harmless council, its servants and agents, and each of them from and against all actions, costs, claims, charges, expenses and damages whatsoever which may be brought or made or claimed against them arising out of, or in relation to the permit. • If the event is on council land, the permit holder is to have, during the term of the permit, a public liability insurance policy in a form approved by council, of a sum not less than twenty million dollars ($20M or more) in respect of the land or premises.

      • I have completed this event notification form to the best of my knowledge and agree to adhere to all the reasonable requests made during the assessment and planning phase that may be stipulated by Clarence City Council and other agencies. I acknowledge and accept the terms and conditions of any permits and licenses that may be issued under council’s Public Places By-Law 2018.
